A useful quote makes the proposed work and price understandable before either party commits. The total matters, but scope, assumptions and the way changes will be handled are just as important.

Describe what is included

Name the deliverable in ordinary language. Specify quantities, materials, the number of revisions and any customer inputs you rely on. List exclusions separately. For a design project, distinguish a concept presentation from final production files; for a repair, distinguish an inspection from the repair itself.

Show how the estimate was built

For an illustrative job, four hours at 60 plus 35 in materials gives 275 before any applicable tax. A different scope or additional materials changes that calculation. Use the project estimate calculator to explore assumptions before preparing the document.

The free quote generator creates a simple draft. It does not send the quote, create a contract, record acceptance or confirm a booking. Add the required business details, dates, validity period and terms appropriate to your work before sending.

Explain timing and changes

State when you can begin, what information is needed and which dates are estimates. Explain how a customer requests a change and when you will provide a revised price. Keep a clear version or reference so people do not accept an outdated document.

Move into a managed workflow

When the customer is ready, use your normal approval and booking process. Do not treat an enquiry, a social reaction or a generated draft as acceptance or payment. Keep customer information in an authorised workspace instead of putting private quote details in a public post or URL.
