How to connect jobs, crew rosters and live tracking

A field-work checklist for assigning the right crew, sharing job progress and keeping customers informed without scattering updates across apps.

Field work is easier to coordinate when the job, the assigned shift and the crew’s progress tell the same story. Otherwise, an owner may have one list for tasks, another for rosters, and a string of messages asking where someone is.

Make the job the source of truth

Capture the customer, destination, work description and expected time in a job record. Keep the status simple: what still needs assigning, what is in progress, and what has been completed or cancelled. A precise job record gives everyone a shared reference when plans change.

Before sending a crew, check that the customer address, access details and contact method are correct. Keep private details in the workspace and share only what the assigned people need to do the work.

Assign from the roster, not from memory

A roster records when crew members are available and which shift they are working. Linking a job to a published shift helps the owner pick the right crew and gives the crew a clear assignment. If the shift changes, review the linked job rather than assuming the original assignment still holds.

For teams spanning regions, record the local time zone of each shift. A date and time without its zone can cause avoidable mistakes for both the crew and the customer.

Share progress without broadcasting a person’s location

Once a field job is dispatched, a crew member can open their unique job link and choose when to share live location. The owner sees active crew locations on a simple map. For a customer waiting at a destination, the owner can provide a separate job link to see relevant progress and communicate with the crew. Share those links only with the intended people.

Location is a live operational signal, not a promise of arrival time. Maps can lag, GPS can be imprecise, and traffic changes. Give customers a human-readable update as well as a map when timing matters.

Use one conversation for the job

A job-linked conversation helps the crew and customer resolve access questions or changes without searching through unrelated messages. The crew can mark Arrived at the destination and Completed when the work is done. Customer access to that job conversation ends after completion.

If a crew member cancels, treat it as a change to the assignment, not the end of the customer relationship. The owner can review the cancellation, notify the customer through the available channel, and reschedule the job to another suitable shift. Confirm the new time before dispatching again.
